Leave of Absence
• A written request to the president/board is required. Such request must clearly identify
the reason for the leave of absence.
• Guidelines for the leave shall be: - Medical condition of the member or members of his/her family/parents.
- Maternity leave for member or member’s spouse. - Death in immediate family.
- Temporary work assignment out of Des Moines area. - Change in and need for adjustment regarding family situation.
- If a member’s responsibilities at his/her place of employment change significantly, resulting in the individual’s inability to meet attendance requirements.
• The member must be in good standing and dues must be paid up to date at the time
of the request. Attendance for the current Rotary year must be 60% or higher.
• A leave of absence is 3 months. Extensions up to 12 months may be approved by the
Board. If the leave of absence has been granted for change in job responsibilities, a three
month extension only may be granted.
• The member is required to pay dues, excluding the cost of meals, during the leave
of absence.

Make-Ups
• Credit for makeup will be given for attendance at committee and board meetings. An
attendance list must be submitted to the Secretary within one week by the chair of the
committee.
• No credit for makeup at public functions or meetings will be given without prior approval
of the Board.
• Informal make-ups: Members may receive credit for attending a board approved informal
gathering of DMAM members. Informal makeup sites and dates will be set for the second
Thursday of every month. The dates may be altered by the Board in accordance with
holidays or other attendance conflicts. Attendance will be reported to the Secretary within
one week of the informal makeup by a member designated by those who attended the
informal makeup.
• No financial credit shall be given to the member for committee or informal make-ups.
• Members who make up a meeting at another Rotary Club for which they are charged
are entitled to $5 credit on their next dues invoice.

Meeting Cancellation Due to Inclement Weather
• Regular meetings of the Rotary Club of Des Moines A.M. shall be cancelled for
inclement weather by the president or, in his/her absence, the officer responsible for
conduction of business.
• Meetings are automatically canceled if Des Moines schools are canceled due to
inclement weather.
• If on the day preceding the meeting, the president determines that the weather forecast
implies that schools are likely to be cancelled the next morning, he/she may cancel the
Rotary meeting. Every effort will be made to notify all members by 4 p.m. on Thursday,
or the day before the regularly scheduled meeting, by email, fax or telephone.
Cancellation will be posted on the Web site.

Initiation Fees:
• All applications for membership in DMAM must be accompanied by a check for $75.
This fee is required for all applicants, including current or past members of DMAM or
other Rotary Clubs.
• As of January 1, 2002, all new members will be expected to become donors to the
Rotary International Foundation at a minimum of $100/year.

New Member Identification
• New members will have special ribbons attached to their name badges to wear for
three meetings.

Past Due Accounts
• The executive secretary of the club sends quarterly statements of account to all
members. All dues and charges are due upon receipt.
• Each member is responsible for his/her dues (not his/her employer). Dues are mailed
the first week of each calendar quarter and if payment is not received by month end of
the first month of each calendar quarter, a second statement will be issued and will
include a $10 past due charge. An additional $10 will be assessed each month after
such month until the quarterly dues assessment is paid in full. At approximately 45 days
into the calendar quarter, members with unpaid dues will be contacted by the club.
• If quarterly dues are not paid for two consecutive quarters, the Board of Directors has
the right ask for the resignation of members whose dues remain unpaid. Members
who choose to resign will be informed that they are responsible for outstanding dues,
including the pro rata portion of the quarter in which they resigned. All efforts will be
made to collect those dues.

Funds Availability Policy and Funding of the Foundation
• It is the objective of the Club's Board of Directors to maintain sufficient cash availability for
the Club' s short-term and long-term needs. Annually the amounts in the Club's accounts
will be reviewed by the Board to determine these levels of sufficiency. Any excess funds
will be transferred to the Foundation or to other recipients as so determined by the Board.
• Currently, the Foundation receives weekly Sergeant fees collected at the Club's breakfast
meetings. These contributions result in a potential tax deduction for each member. The
Club sendsout an annual statement in January detailing each member's pro rata share
of the Sergeant transfers to the Foundation. |
